How it works
Fill in clock-in and clock-out times and unpaid breaks for each day of the week. The calculator totals the hours, splits them into regular and overtime hours, and estimates gross pay at your hourly rate.
Under the federal Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek. You can change the threshold and multiplier to match your employer or state rules.
Shifts that end after midnight are handled automatically. Leave both times blank for a day off.
Formula
Pay = min(hours, 40) × rate + max(0, hours − 40) × rate × 1.5
Questions people ask
Are breaks paid?
Under federal law, short breaks of 5 to 20 minutes are paid work time, while meal periods of 30 minutes or more where you are fully relieved of duty are usually unpaid. Enter only the unpaid break time.
How is overtime calculated?
Hours over 40 in a fixed 7-day workweek are paid at 1.5 times the regular rate under the FLSA. Hours are not averaged across two weeks.
How do I convert minutes to decimal hours for payroll?
Divide the minutes by 60. For example, 8 hours 15 minutes is 8.25 hours, and 8 hours 40 minutes is about 8.67 hours.
